1. What you get
Depending on the plan you choose:
| Plan | Set-up fee | Monthly | Includes |
| Website + app | None | £49 | A one-page website on your own domain, the Pocket Paperwork app on your phone, hosting, security certificate, backups, domain registration and renewal, Google Business Profile set-up, one round of website changes each quarter, and help on WhatsApp. |
| App only | None | £29 | The Pocket Paperwork app, hosting, backups and help on WhatsApp. No website. |
| Website only | None | £29 | For customers leaving the app who want to keep their website live: domain, hosting, security certificate and one round of small changes a year. Available after at least one month on a full plan. |
All prices exclude VAT unless we tell you otherwise on your invoice. Extra website changes beyond what's included are £45 an hour, agreed with you first.
2. Paying
- There is no set-up fee. Because we do the set-up work before you've paid much, every plan has a three-month minimum: the first three monthly payments are due whatever happens. After that you can cancel with a month's notice.
- The monthly fee is taken by direct debit in advance, on the same date each month, starting the day your app goes live.
- If a payment fails, we'll message you. After 14 days unpaid, your app switches to read-only: you can see and download everything but not create new quotes or invoices. After 60 days unpaid, we treat the account as cancelled under section 6.
- We can change our prices with 30 days' notice. If you don't like a new price, you can cancel before it starts.
3. Your domain
- If you don't have a web address, we register one for you as part of setup. It is registered in your business name, with us as the technical contact so we can manage it. You own it. We look after it.
- Renewals are included while you're on a plan that includes a website.
- If you already have a domain, we'll point it at your new site. You can keep managing it yourself or let us manage it for you.
- If you leave, we hand your domain over to you or your new provider free of charge. See section 6 for how.
- We don't provide email on your domain, and we never change the email settings on a domain you already own. If you have email on it, it carries on exactly as before.
4. Your data
- Your customers, quotes, invoices and payments are yours. We never sell them or share them with anyone else.
- You can download everything as a spreadsheet from the app at any time.
- We keep an automatic backup every night and hold 14 days of backups, plus an off-site copy.
- We keep your records for 90 days after your account ends, so you can still download them. After that we delete them.
- We handle personal data under UK GDPR. How we do that is set out in our privacy notice.
5. What the app is and isn't
- It creates quotes and invoices, tracks what's been paid, logs expenses from photos of receipts, and keeps digital records. Receipt details are read automatically and must be checked by you before saving; we don't guarantee the reading is correct. It is not accounting software and it does not submit anything to HMRC. Your accountant or bridging software does that, using the export.
- We never handle your money. Your customers pay you directly, by bank transfer or through a payment link you set up with your own provider.
- You are responsible for what goes on your invoices: prices, VAT status, bank details. Check them.
- We aim to keep the app available all the time, but like any online service it can occasionally be down for maintenance or reasons outside our control. If it's down for more than 24 hours in a month through our fault, we'll credit that month's fee.
6. Stopping
You can cancel at any time by messaging us. Notice is one month from the date you tell us, and no cancellation fee applies. On the day your account ends:
| If you… | Then… |
| want nothing more from us | Your website comes down and your app closes. You have 90 days to download your records. Your domain stays registered until its next renewal date, and we'll transfer it to you at any point in that time if you ask. If you don't, it lapses. |
| want to keep the website but not the app | Move to the Website only plan at £29 a month. Nothing changes on your site. |
| want to keep the app but not the website | Move to the App only plan at £29 a month. We keep your domain registered for one more year at no charge in case you change your mind, then hand it over or let it lapse, your choice. |
| are moving to another web designer | We give you or them the domain transfer code and a copy of your website files. No charge, and we'll do it within five working days of your request. |
| stop paying and we can't reach you | Read-only after 14 days, cancelled after 60 days as in section 2. The same 90-day download window and domain handling apply. |
7. Fair use and support
- Help is by WhatsApp, Monday to Friday, 9am to 5pm. We usually reply the same day.
- Website changes included in your plan are small edits: prices, phone number, photos, a paragraph of text. A redesign or a new page is quoted separately.
- The app is for your own business. One business per account.
8. The legal bit, kept short
- We'll do our work with reasonable care and skill. If we get something wrong, we'll fix it. Our total liability to you in any year is limited to the fees you paid us in that year, except where the law doesn't allow us to limit it.
- These terms are governed by the law of England and Wales.
- We may update these terms. We'll tell you at least 30 days before any change that affects you.
